Enabling Settings and Using Digital Charting
Please note: Digital Charting is currently in Beta testing, and the images shown may change as improvements and updates are made.
Digital Charting helps facilities keep accurate, organized records of pet care activities throughout the day, including feedings, medication administration, exercises, and incidents. By tracking these services in real time, staff can improve communication between shifts, ensure tasks are completed properly, and maintain consistent care for every pet. This feature helps reduce missed services, provides better internal documentation, and gives facilities a centralized way to monitor daily care activities quickly and efficiently.
To access Digital Charting settings, navigate to:
Digital Charting > Settings

Digital Charting Settings
Within the Settings page, you will see separate sections for:
- Feeding
- Medication
- Exercise
Each section contains similar configuration options for that service type.
Time Definitions
Morning, Afternoon, and Evening time ranges determine when charting tasks appear throughout the day and which tabs automatically display for staff.
Example:
- Morning Feeding: 6:00 AM – 11:00 AM
- Afternoon Feeding: 11:00 AM – 4:00 PM
- Evening Feeding: 4:00 PM – 11:00 PM

Auto Mark Done if Required Fields Exist and All Required Fields Are Filled
When enabled, the system will automatically mark a charting task as complete once all required fields have been filled out.
Auto Select Tab Based on Time of Day
When enabled, Digital Charting will automatically display the appropriate Morning, Afternoon, or Evening tab based on the current time.
Fields Section
The Fields section allows you to create custom charting fields specific to that service category.
To add a new field:
- Click the blue + button
- Configure the field options
- Save your changes
Examples of custom fields include: To edit
- Notes
- Results
- Initials

To edit an already existing field, click the blue pencil icon.
This is where you can mark fields as Required.
Service Delivery Page
The Service Delivery page allows staff to view and complete Digital Charting tasks throughout the day.
To access this page, navigate to:
Digital Charting > Service Delivery

Service Tabs
The tabs at the top of the page allow staff to switch between different charting categories.
- All Services – Displays all charting categories together
- Feed – Displays feeding-related tasks
- Med – Displays medication administration tasks
- Exercise – Displays exercise-related activities
- Other Services – Displays additional custom services
- Incidents – Displays incident tracking and reporting entries
Filtering and Navigation
The Service Delivery page includes tools to:
- Navigate between dates
- Jump to a specific date using the calendar icon
- Filter by assigned employee (optional)
- Sort tasks by pet name, run number or service name
- Search charting entries using the 'Search Any Field' box

Status Filters
Status filters allow staff to quickly identify charting progress.
- All – Displays all charting tasks
- Completed – Displays completed tasks only
- To Do – Displays incomplete tasks only

Time-of-Day Filters
Certain tabs, such as Feed, Meds and Exercises, include additional filters for time-of-day services.
- All Times – Displays all service times together
- Morning – Displays Morning tasks only
- Afternoon – Displays Afternoon tasks only
- Evening – Displays Evening tasks only

Service Cards
Each charting entry appears as an individual service card displaying:
- Pet Name
- Appointment Type
- Run Assignment
- Assigned Services
- Notes Fields
- Result Dropdowns
- Completion Status

Notes and Results
Staff can enter notes and select standardized results while completing charting tasks.
Examples of results may include:
- Ate All
- Ate Some
- None Eaten/Refused
- Completed
Notes can be used to document additional details such as:
- “Refused meal”
- “Snappy when placing bowl”

Completing a Service
To complete a charting task:
- Enter any required notes or information
- Select a result if applicable
- Click the completion circle/checkmark icon
Completed services will display a green checkmark indicator.
Additional Service Options
The three-dot menu on each service card allows you to Log Incidents.

You can select the Incident Type, enter notes pertaining to the incident, the action needed, status, employee who reported the incident, as well as any warnings, notes or instructions.
In our example, we are selecting a Feeding Issue.


After saving the incident, we can see it on the main service page in yellow along with the incident warning that was logged.

Services will display on the pet card under the Service Delivery tab.

History Tab: Coming Soon!
Properties Tab:
Setup>Custom Properties>Pet Properties or Feed Properties allows you to add additional charting tasks.

These properties can also be marked as required.

In the properties tab on the pet card, you can track pet weight, eliminations or any other item you need to chart!
-Add New to add a new log.
-Edit pencil to edit an already existing log.
-Trash can to delete a log.
